Check the notice and documents on the buyer's official service before bidding.
Before you bid
Five checks for an event tender
Use the official tender pack to answer these questions. A relevant title is a starting point, not proof that the contract fits your agency.
Insurance levels
Event contracts often require £5m–£10m public liability plus employer's liability. Check the exact figures in the tender pack before you spend a day on the response.
Site visits and briefings
Some buyers make a site visit or supplier briefing mandatory. Miss it and the bid can be rejected, however good it is.
Safety, licences and permits
Look for event safety plans, crowd management, licensing, road closures and accessibility duties, and who carries each one: you or the buyer.
Dates, lots and subcontracting
Check fixed event dates, whether production, AV, staging or hospitality are separate lots, and how much you may subcontract.
Payment and cancellation terms
Read deposit, staged payment and cancellation clauses. Weather or funding risk can land on the supplier, which changes your price.
Proceed when scope, participation evidence, commercial fit and capacity are clear. If a mandatory point is uncertain, ask the buyer before the clarification cut-off. If it cannot be resolved, record why you are not bidding.
From discovery to preparation
Keep your agency's tender work in one place
Find a relevant opportunity
Create your private Company DNA so DAVIA can explain how official opportunities relate to your agency's services and preferences.
Review the gaps
Use an automated Readiness Report to identify evidence gaps. Ask Dani about the selected notice, and confirm important answers in the buyer's documents.
Plan your response
Save an opportunity and use the action-plan tools available on your plan to organise preparation and track tasks towards the deadline.
Automated guidance is not eligibility certification, legal advice or a guarantee of an award. Human assessment and coordination are separately scoped services.

Event tender questions
Where can event agencies find UK public tenders?
Find a Tender and Contracts Finder are the official UK procurement services. Councils, universities, NHS bodies and cultural organisations publish festival, conference, exhibition and ceremony work there. This page shows a selection, not every UK event tender.
Are arts and festival grants the same as tenders?
No. Grants (for example from Arts Council England) are funding applications. Tenders are contracts to deliver a service for a public buyer, such as producing a festival or running a conference.
Does a verified event tender mean my agency is eligible?
No. Verified means DAVIA checked the official source, open status and a future deadline. Eligibility depends on the requirements in the official tender pack.
What does the DAVIA portal add?
The portal uses your private Company DNA to match official notices to your services, give a GO / CHECK / NO-GO view, readiness reports, action plans and Dani's help, depending on your plan. None of these guarantee an award.
