Common Tender Submission Mistakes and How to Avoid Them

By Denise Daví, founder of DAVIA · Published · Updated

Short answer

The most avoidable mistakes are organisational: missing the deadline, leaving out a required document, ignoring word limits, and not answering the question exactly as the evaluation criteria describe. A checklist, a timeline and a final compliance review prevent most of them.

Leaving submission to the last hour

Portals can be slow and uploads can fail. Buyers normally reject late submissions, so set an internal deadline well before the official one.

Missing mandatory documents

Requirements are often spread across several files. Build one checklist of every form, declaration, certificate and attachment the tender asks for, and tick each off before submitting.

Not answering the actual question

Evaluators score against published criteria. Re-read each question and its scoring guidance, answer every part, and use the buyer's terminology.

Ignoring word and format limits

Content beyond a word limit may not be read. Follow the instructions on length, format and file naming exactly.

Generic, unevidenced claims

Statements such as 'we deliver excellent service' score poorly without evidence. Use specific, verifiable examples from your own work.

Missing clarification deadlines

If something is unclear, ask the buyer before the clarification deadline. Answers are usually shared with all bidders and can change how you respond.

This guide is general information, not legal advice. Always check the current rules on GOV.UK and the buyer's own documents.
